Job Description

Job DescriptionThe purpose of this position is to coordinate and manage college-wide accounts receivable transactions, focusing on processing, billing, and reconciling third-party agency authorizations and scholarship payments.The values that guide our work include access and opportunity, equity, inclusion, belonging, cultural competence, culturally responsive pedagogy service, and community engagement. On a daily basis, live the mission, vision and values of M State to ensure a positive experience for all students and stakeholders. Service to M State students and stakeholders is a core component of the position and work responsibilities.Process and bill third-party agency activity. This position will process and bill third-party agency activity by acting as a liaison between students, agencies, and the college. It will analyze agency authorizations to determine the costs covered for each student, manage and update agency funding, and evaluate and enter agency funding amounts into the student accounting system. Additionally, it will reconcile student accounts with agency authorizations and bookstore receipts, prepare and enter invoices, and receipt payments in the accounting system. Tracking and following up on unpaid invoices, reconciling accounting and student records. This position will process PSEO, eCHS, and concurrent invoicing and follow up.Coordinate Financial Aid Accounting Records to ensure accurate handling of Federal and State funding. This position will review Financial Aid Funds apply reports weekly and mail new fee statements as needed. It will prepare weekly aid apply funds apply spreadsheets for both fiscal and financial aid award years and reconcile spreadsheet totals with accounting system reports. Additionally, the position will refund state financial aid funds upon request, calculate and enter estimated Ch 33 GI Bill awards on student accounts before each semester's first aid/funds apply, and revise awards from estimated to actual after funds are received. It will also collaborate with the M State Veterans certifying registrar to ensure accurate awarding, payments, and refunds of Ch 33 GI Bill funds.Deposits payments. This position will receive and deposit scholarship funds, verify student eligibility based on scholarship guidelines, and request refunds to donors when necessary. It will compile and enter bi-weekly scholarship payments into the student accounting system, manage and update scholarship ledger sheets weekly, and calculate year-end payment and deposit data for fiscal reconciliation with student and college records.Implement daily receipting. This position will receipt EFT funds received in the bank into the accounting system, as well as R School Today cash/check payments. It will reconcile daily RST accounting system deposits of credit cards, cash, and checks with the RST daily deposit report, and reconcile the MN DOR daily payment report with funds received each afternoon into the accounting system. Additionally, the position will receipt MN DOR payment reversals, non-applied payments, and MNDOR fees owed if paid at the campus bookstore into the accounting system.Outstanding Student Accounts.As part of the accounts receivable team, this position will assist as needed in the areas of delinquent and outstanding student accounts outreach and follow-up including telephone and electronic communications.Support for campus and college operations.Recognize the broad and varied professional responsibilities which include but are not limited to support for campus and college operations such as: front desk coverage, registration events, Spartan Welcome Days, Commencement, and note that this is not an exhaustive list. Support the operation of college and campus Student Services operational areas beyond the business services offices. Serve on campus, college and community committees as assigned, approved and appropriate that seek to enhance the student experience. Assist in the bookstore fulfillment center as needed. Other related duties as assigned by the Director of Business Services and Vice President of Finance and Facilities.Minimum QualificationsCustomer service skills sufficient to meet the M State commitment and service standards.Fluently communicate, read, understand, and respond to a variety of written and oral communications, detailed instructions, and procedures.Accounting/Budgeting/Expense skills to accurately track and record budgets to ensure accurate record budget transactions, payment of all invoices, expense vouchers, and supply and equipment orders.Bookkeeping sufficient to maintain accurate financial records.Data entry skills sufficient to accurately enter data into spreadsheets and databases. Typing/Keyboarding skills sufficient to produce legal documents, letters, and reports.Standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files. Word processing experience sufficient to quickly and accurately produce business letters, memos, transcripts, reports, using proper business grammar, spelling, and usage. Spreadsheet experience sufficient to maintain data and produce monthly benefits reports. Database management skills sufficient to develop and correctly enter information in a database and to produce ad-hoc queries and develop reports for management use.Ability to work in a seated or standing position for extended periods of timePreferred QualificationsTwo years of formal education after high school or a two-year degree/diploma in accounting. Three years? work experience.Basic knowledge of accounting and bookkeeping principles.Knowledge of college, agency, federal and state policies, and procedures.Knowledge and skills in computers, applicable software, and calculators.Ability to prioritize work, to be self-motivated, and to decide what tasks must be done to carry out work assignments and what materials, equipment, and/or information are needed.Ability to complete detailed work accurately under pressure and to meet deadlines.Proficient in oral, written, and electronic communication.Ability to develop a collaborative and professional relationship with college personnel and customers.Work Shift (Hours / Days of work)40 hours per week, Monday-Friday 8 a.m. ? 4:30 p.m.Employment TypeThis position is slated to start at the end of April in a full-time, temporary assignment until May 9, 2025, to allow for training.
