Job Summary

We are seeking a detail-oriented and motivated Administrative Assistant to support our office operations. This role is essential in keeping our offices running smoothly by handling a variety of administrative and customer service tasks.

 

Job Description

  • Serve as the first point of contact by greeting visitors and routing phone calls professionally (multi-line system).
  • Handle incoming/outgoing mail and packages, including preparing shipping labels.
  • Maintain electronic and physical records, including shared databases, project files, and technical libraries.
  • Update digital systems such as the office "outboard" and document management systems.
  • Order and monitor office supplies inventory.
  • Support other departments, such as Preconstruction, Estimating, and Service, by setting up project files and assisting with invoices.
  • Assist with coordinating company events.
  • Perform general office duties and other tasks as assigned.

 

Skills Required

  • 2–3 years of administrative experience, preferably in construction or a related industry.
  • Excellent customer service and communication skills (verbal and written).
  • Strong attention to detail, time management, and multitasking abilities.
  • Proficient in Microsoft Office Suite, Adobe, Bluebeam, and web-based platforms.
  • Able to work independently and collaboratively in a team setting.
  • Reliable attendance;

 

Education/Training/Certifications

  • A minimum of a high school diploma or G.E.D. equivalent is required.

 

Additional Requirements

  • Ability to manage frequent interruptions and shifting priorities.
  • Demonstrated professionalism and a proactive, solutions-oriented attitude.
  • Willingness to cross-train and support other administrative roles as needed.
