Job Description

Description Robert Half is partnering with a reputable client in the construction industry to fill the role of Administrative Assistant. The Administrative Assistant will serve as a key team member, providing administrative and operational support to ensure the smooth functioning of the construction office. This role requires excellent communication, organizational, and multitasking skills. The ideal candidate will have experience in administrative roles, preferably in the construction or related industries, and a knack for handling scheduling, documentation, and vendor coordination. Key Responsibilities + Assist with daily administrative tasks, including managing schedules, responding to emails, and answering incoming phone calls. + Prepare, proofread, and distribute construction documents, including contracts, proposals, and project reports. + Maintain and update project files, vendor records, and compliance documents in both digital and physical formats. + Support the construction team with scheduling meetings, tracking deadlines, and organizing project timelines. + Process invoices, purchase orders, and expense reports, ensuring accuracy and timely submission. + Coordinate with vendors, contractors, and subcontractors to ensure timely delivery of materials and services. + Oversee office supplies inventory and place orders when necessary. + Provide support for special projects and events, including team site visits and client meetings. Requirements + 2-4 years of experience in administrative roles, with construction or project management experience a plus. + High school diploma required; associate degree or higher in a relevant field preferred. + Advanced skills in Microsoft Office Suite (Excel, Word, Outlook); familiarity with construction management software (e.g., Procore or Buildertrend) is an advantage. + Strong written and verbal communication skills, with the ability to interact effectively with team members and external partners. + Proven ability to manage multiple tasks, maintain deadlines, and take initiative in a fast-paced setting. + High accuracy in managing project documentation, invoices, and other administrative responsibilities.
